Why a Pre-Pickup Inspection With Photos and Video Protects Your Car

Most transport disputes I have seen come down to one sentence: "That scratch was not there before." Without a record, nobody can prove it either way. The customer feels cheated, the provider feels accused, and the conversation goes nowhere. A pre-pickup inspection with photos and video settles the question before the car leaves your driveway.

I want to explain how I think about inspections, what a good one covers and how you can use the record to protect yourself. Even if you never book with us, this is worth knowing.

Why the record matters

Your car has a history. A small mark near the bumper, a worn tyre edge, a chip in the windshield you stopped noticing months ago. None of it matters until the car travels hundreds of kilometres and arrives with something new on it. At that point, memory is useless as evidence. You remember one thing, the driver remembers another, and nothing exists to settle it.

A dated record gives both sides the same starting point. It protects you from damage that happens in transit, and it protects the transporter from claims about marks that were already there. Both outcomes lead to fewer arguments and faster resolutions, which is why I think documentation should be standard practice and never an optional extra.

Some customers tell me their car is old and already has a few marks, so an inspection feels pointless. I say the opposite. A car with existing marks needs a record the most, because those marks are exactly what can be confused with new damage later. The inspection is about clarity for everyone involved.

What a good inspection covers

When I say inspection, I mean a trained inspector going around the vehicle methodically, with no quick glance and a signature. The inspector should note:

  • Existing dents and scratches on every panel
  • Overall body condition
  • Mirrors and lights
  • Tyres and wheels
  • Windshield and glass
  • Visible accessories and fitted extras

The findings should be written down, and you should be able to read them before you agree. If an inspector talks but never writes, ask why.

Written notes alone leave too much room for interpretation. "Minor scratch on left door" means different things to different people. Photos and video close that gap. Clear images of every panel, close-ups of existing marks and a slow walkaround video create a record that is very hard to dispute. At Car Coolie, our pre-pickup inspection is backed by photo and video documentation, so your car's condition is on file before transport begins. I am particular about this because it prevents more disagreements than any other step. When a customer sees their own car documented in detail, trust builds fast, and it builds before the vehicle has gone anywhere.

You play a part too, and a few habits help a great deal.

  • Wash the car before the inspection so every mark is visible.
  • Walk around with the inspector and point out anything you want noted.
  • Take your own photos and video as a backup.
  • Read the written report and check that it matches what you see.
  • Keep copies of everything until delivery is complete and you have signed off.

Your own photos take five minutes and cost nothing. I suggest them even when we have already documented everything.

Using the record at delivery

The same discipline applies at the other end. When the car arrives, inspect it in good light and compare each panel against the pickup record. Check the tyres, glass and mirrors. Open the doors and look at the interior.

If you see a difference, say so before you sign the delivery receipt, and photograph it on the spot. A clean record from pickup makes this check quick, because you compare evidence and leave impressions out of it. If everything matches, you can sign with confidence and get on with your day.

If a dispute does come up and the provider does not resolve it, you have options. The Department of Consumer Affairs runs the National Consumer Helpline on 1915, where you can register a grievance online, through an app or on WhatsApp. Your inspection photos and the signed delivery note are exactly the evidence you would attach. Most customers never need to go that far, and I hope you will not, but the record is what gives you that choice.

Good documentation shows what happened, and good handling keeps damage from happening. That means trained staff for loading and unloading, proper equipment and firm rules about how a customer's vehicle is treated in transit. Our policy is that customer cars are transported and never driven for convenience. No unauthorised driving, no extra passengers, and no luggage belonging to someone else loaded into your car. These rules sound obvious, but they are worth confirming with any provider.

If you are comparing providers, a few questions will show you quickly how seriously they take this. Do they inspect every vehicle before pickup? Do they take photos and video, or only written notes? Will you receive a copy of the report? How do they handle a difference found at delivery? Who loads and unloads the car? A confident provider answers without hesitation. A provider who avoids the questions has still told you something.

A documented inspection turns a stressful handover into a routine one. You know the condition of your car at the start, you can verify it at the end, and everyone works from the same facts. Most problems stop being problems once clear evidence is on the table.
